Information we collect
- Account details: your email address, optional display name and a securely hashed version of your password. We do not store your password in readable form.
- Access and preferences: your account role, enabled features and regions, display settings, saved rivers and groups, personal flow settings, alerts, Fresh Watch choices and scheduled email preferences.
- Communications choices: whether you opted in to product updates and news, when and where that choice was recorded, provider synchronisation information, and records of messages sent.
- Membership and billing information: your plan, subscription status, payment dates, renewal or cancellation status, terms acceptance, and Stripe customer, checkout, subscription, payment or event identifiers. River Check does not receive or store your complete card number or card security code.
- Security and activity information: login times, login counts, session start and last-activity times, estimated active time, normalized page names and administrative access changes used to run, secure and improve the service. River Check does not store page query strings, form contents or IP addresses in its account activity history. Hosting logs may separately include an IP address, browser or device details and requested pages.
- Information you provide: river feedback, support messages and any other information you choose to send us.
Why we use it
We use personal information where it is reasonably necessary to:
- create, review, authenticate and administer River Check accounts;
- provide personalised river tools, preferences, alerts and requested email reports;
- send important account, security, outage or service information;
- send product updates and River Check news only when you have opted in;
- administer trials, paid access, renewals, cancellations, receipts and billing support;
- support users, investigate faults, prevent misuse and protect the service; and
- meet legal obligations and establish, exercise or defend legal claims.
What is required and what is optional
An email address and password are required to create and use an individual account. If you do not provide them, we cannot create that account. Your display name is optional.
Product updates and River Check news are also optional. Leaving the signup box unticked does not affect your account or access. You can change this choice in My account or unsubscribe from an update email. Important factual account, security or service notices may still be sent when needed.
Who may receive it
Access is limited to Cadence Fly Fishing NZ Limited personnel who need the information to operate or support River Check. We also use contracted providers for specific parts of the service:
- Render provides application, database and infrastructure hosting.
- Resend delivers account, service and opted-in product or news emails, and manages the associated email contacts and preferences.
- Stripe provides hosted payment checkout, payment processing, billing records and customer billing tools.
We may also disclose information to professional advisers, regulators, law-enforcement agencies or other people where required or permitted by law, or where reasonably necessary to protect River Check, its users or others. We do not sell or rent personal information.
Overseas processing
Render, Resend and Stripe operate internationally, so personal information may be stored or processed outside New Zealand. Where the Privacy Act 2020 treats a transfer as an overseas disclosure, Cadence Fly Fishing NZ Limited will use an applicable legal basis and reasonable safeguards intended to provide comparable protection.
Cookies
River Check uses essential session and security cookies to keep you signed in, protect forms and remember authenticated use. River Check does not currently use advertising cookies or third-party behavioural advertising trackers.
How long we keep information
We generally keep account information and saved settings while your account remains open. Login, page and session activity stored by River Check is ordinarily removed after 90 days. Consent, communication, subscription, administrative audit and security records may be kept for longer where reasonably necessary to demonstrate compliance, administer access, investigate an incident or resolve a dispute. Financial and transaction records may be retained for the period required by tax, accounting or other law.
When information is no longer reasonably required, we will delete it or make it anonymous where practicable. Some information may remain temporarily in protected backups or provider logs until those records expire through their normal lifecycle. We may retain information where required by law.
Access, correction and account closure
You may ask Cadence Fly Fishing NZ Limited for access to the personal information we hold about you and ask us to correct it if it is wrong. You may also request closure of your River Check account and deletion of information that we do not need to retain.
Email info@cadenceflyfishing.co.nz or write to the address above. We may need to confirm your identity before acting on a request.
Security and privacy breaches
We use access controls, password hashing, secure sessions and service-provider safeguards intended to protect personal information against loss, misuse and unauthorised access or disclosure. No internet service can guarantee absolute security. If a privacy breach is likely to cause serious harm, we will notify the affected people and the Office of the Privacy Commissioner as required by law.
Changes and complaints
We may update this statement when River Check or its providers change. We will publish the updated statement here and change the effective date. If a change materially affects an existing use of your information, we will take reasonable steps to tell you.
Please contact us first if you have a privacy concern. You may also complain to the Office of the Privacy Commissioner.
